Key Responsibilities
Transformational Project Management (30%)
- Lead initiatives that introduce new systems, processes, or capabilities aligned with departmental transformation goals.
- Apply appropriate project management methodologies (Agile, Waterfall, or Hybrid) to ensure timely, effective delivery.
- Partner with cross-functional stakeholders to define project scope, milestones, and success metrics.
- Support directors and senior leaders by driving project plans, timelines, and accountability.
- Lead high-priority initiatives such as audits of member-facing communications and related process improvements.
- Serve as product manager/owner for the creative production management platform (e.g., Hive, Monday.com, ClickUp, Wrike).
- Manage and prioritize a backlog of feature requests and enhancements; triage new submissions and align priorities with leadership.
- Coordinate with internal admins and external vendors to ensure technical execution aligns with business needs.
- Maintain clear documentation of feature specs, testing, and deployment notes.
- Communicate platform updates and changes to end users, driving adoption and ongoing optimization.
- Develop and maintain a framework for documenting key workflows within the creative production environment.
- Map and record core processes, critical steps, dependencies, and decision points to reduce downtime and knowledge gaps.
- Build and manage a dynamic, accessible knowledge base for marketing systems and software.
- Identify opportunities for continuous improvement and operational efficiency across tools, workflows, and team practices.
Qualifications
- 5+ years of experience in project management, product management, marketing operations, software development, or a related field.
- Hands-on experience with Agile project management methodologies.
- Demonstrated experience working within creative production, marketing operations, or similar systems-driven environments.
- Proven track record managing complex projects, competing priorities, and cross-functional stakeholders.
- Strong documentation skills, including process maps, user guides, and deployment notes.
- Advanced proficiency with modern collaboration and workflow tools (e.g., project management platforms, documentation tools, and productivity suites).
Preferred Skills
- Experience with creative production management platforms such as Hive, Monday.com, ClickUp, Wrike, or similar.
- Experience with integration/automation platforms (e.g., Workato, Zapier, Make/Integromat) and a strong interest in automation and optimization.
- Familiarity with APIs, JSON, or scripting languages (e.g., Ruby) is a plus but not required.
- PMP or equivalent project management certification preferred.
- Agile certification (e.g., Scrum Master, PMI-ACP) is an asset.
- Exceptional communication and stakeholder management skills; able to influence without authority and navigate diverse personalities and cultures.
- Comfort working in ambiguous, evolving environments where processes are flexible and continuously improving.
