Imprimis Group, Inc. has partnered with a software and technology services company in New York, NY, that is hiring a highly organized and proactive Office Manager/Sales Assistant. This role combines office management responsibilities with sales administration duties, ensuring the efficient operation of our office and supporting our sales team. The ideal candidate will also perform executive assistant and administrative functions, facilitating smooth day-to-day activities and contributing to our company's overall success.

Key Responsibilities:
Office Management:
  • Oversee daily office operations, ensuring a clean, organized, and professional environment.
  • Manage office supplies inventory and place orders as necessary.
  • Coordinate maintenance and repairs for office equipment and facilities.
  • Develop and implement office policies and procedures to improve efficiency.
  • Serve as the primary point of contact for office-related inquiries and issues.
Sales Administration:
  • Assist the sales team with administrative tasks, including data entry, customer follow-ups, and preparing sales reports.
  • Maintain and update customer databases and sales records.
  • Process sales orders and invoices, ensuring accuracy and timely delivery.
  • Coordinate and schedule sales meetings, conferences, and events.
  • Provide support in preparing sales presentations and proposals.
Executive Assistant Functions:
  • Provide high-level administrative support to senior executives, including calendar management, travel arrangements, and expense reporting.
  • Handle confidential information with discretion and professionalism.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Coordinate and manage executive schedules, ensuring efficient time management.
Administrative Functions:
  • Answer and direct phone calls, emails, and other inquiries in a professional manner.
  • Greet and assist visitors, ensuring a positive and welcoming experience.
  • Organize and maintain files and records, both physical and electronic.
  • Perform general clerical duties such as photocopying, scanning, and mailing.
  • Assist in planning and coordinating company events and meetings.

  • Proven experience in office management, sales administration, or a similar role.
  • Strong organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and CRM software.
  • High level of integrity and discretion in handling confidential information.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Attention to detail and problem-solving skills.
  • Bachelor's degree in Business Administration, Management, or a related field is preferred.
