RESPONSIBILITIES (NOT LIMITED TO):
- Legal administration including general office functions, support other office assistants including phones and correspondence.
- Entering billing slips through our billing program per attorney and allocate time accordingly.
- Opening files, drafting, and sending out Engagement Agreements, collecting retainers.
- Attending client appointments for execution of documents.
- Legal administrative functions related to probate cases including but not limited to Muniments of Title, Determined Heirships, etc.
- Schedule and attend Zoom hearings to notarize documents, order Letters Testamentary, File Notice to Creditors, Inventory, and anything else required to assist the probate attorney.
- Calendar management, handle calendar deadlines and maintain accurate calendar deadlines, contact court clerks on a regular basis, and follow up with assigned clients.
- Filing Certificates of Formation with Secretary of State, obtaining EIN’s, assisting with Family Limited Partnerships, LLC’s, Series LLC’s, Certificates of Good Standing; etc.
- Assist the real estate division with closings of investment properties and documents, as needed.
- Recording of deeds (Special Warranty Deeds, Mineral Deeds, Distribution Deeds, Gifting Deeds) in various states and counties, electronic filing and filing by mail.
- Attend weekly client appointments to assist with execution of documents as a notary or witness.
- Scanning documents, saving files with accuracy, and uploading supporting documentation into multiple platforms.
- Other administrative duties as assigned.
- Extensive reporting while adhering to all deadlines
- Other projects and duties as assigned.
QUALIFICAITONS:
- Bachelor’s degree preferred, Legal certification (Paralegal, Legal Secretary, etc.) highly preferred
- 5+ years minimum of legal administrative experience (law firm or corporate legal team) including corporate entity experience and estate planning (wills, codicils, POA, trusts, Heir Trusts, Amendments, gifting documents, etc.
- Proven office administration skills including calendar management for multiple attorneys, adhering to strict deadlines, file management and reporting.
- Proven technical skills including MS Office, Adobe Creative Suite, Zoom, ProDocs and Efile Texas required.
- Preferred technical skills include Visio, Workshare, Juris, ProLaw, Dropbox, legal accounting systems and recording programs.
- Ability to work well in a team as well as independently, self-starter, ability to take initiative and punctuality.
- Must be highly organized, detail oriented, and able to work under pressure.
- Ability to be extremely detail-oriented, ability to multi-task, flexible, efficient, and adaptable
- Must possess excellent verbal and written communication skills, with the ability to communicate with all levels of employees including head attorneys
- Ability to meet strict deadlines and possess excellent critical-thinking skills
- Ability to maintain strict confidentiality and possess a professional demeanor
