Imprimis Group is hiring an Events Coordinator for an amazing software/SaaS client located in downtown Dallas, TX that is growing! A successful Events Coordinator will collaborate with internal teams, software industry partners and vendors to develop, plan and execute annual industry tradeshow schedule, small events, and employee programs to accomplish organizational objectives, drive new sales opportunities, support customers and employees. this position is responsible primarily for management of industry tradeshows. The coordinator will also be customer-facing and assist with internal corporate events.

Ideal candidates have a minimum experience in the following (but not limited to): 
  • College degree preferred, High School diploma or equivalent required.
  • 2+ years of administrative, event planning, tradeshow or project coordination experience.
  • Experience in general office, administrative support, calendaring and customer service.
  • Strong project management and logistical skills including deadlines and advanced problem analysis and problem-solving skills.
  • Proficient in Microsoft Office Suite (Excel proficiency) including Outlook, Word, Excel, and PowerPoint.
  • Ability to collaborate positively with other employees, internal departments and external audiences to complete objectives
  • Understanding of effective marketing and sales tactics related to maximizing tradeshow and event participation and expenses
  • Persuasiveness, adaptability, good judgment, and effective decision-making skills
  • Excellent organizational, time-management and creative-thinking skills
  • Deadline and goal oriented, collaborative and able to take initiative.
  • Credibility to work well with corporate partners and support their needs.
  • Writing skills to assure quality emails and other communications.
  • Self-starter who can stay-focused in a fast-paced environment.
  • Willingness and ability to be hands-on and proactive in helping clients and colleagues.
  • Superior written and verbal communication skills, as well as experience and comfort with executive interaction and group presentation skills
  • Self-starter who can focus in a fast-paced environment, prioritize, handle aggressive timelines and multi-task successfully

Responsibilities:
  • Proactively work with marketing teams and sales executives to research and recommend tradeshows/conference participation and at what level (attend only, exhibit, sponsor), speaking opportunities and industry association memberships; create annual tradeshow schedule.
  • Partner with sales and the event location (hotel/convention Center) to ensure the logistics of the tradeshow are shipped on time, received and each booth is intact and ready for set up.
  • Conduct strategy meetings with execution timelines and decisions needed.
  • Continually maintain master tradeshow execution details spreadsheet and all related files in centrally accessible digital location
  • Interface with event organizers, venues and vendors to support events/meetings and negotiate cost savings
  • Ensure on-line profiles are up to date, submitted on time and in accord with brand standards
  • Facilitate staff participation approvals with marketing, sales and customer support leadership
  • Manage communications regarding staff responsibilities, travel times and hotel nights
  • Obtain attendee lists to facilitate email campaigns for onsite meetings and booth visits
  • Manage tradeshow booth assets, shipping, service orders, etc. to secure maximum quality and discounts
  • Maintain and improve customer satisfaction by retuning all calls and emails.
  • Build client relationships and understand clients’ needs, potential, frustrations, and feedback.
  • Use internal CRM consistently to update client details, maintain accurate and complete prospect information, manage, and resolve client issues, and refer new sales opportunities to appropriate teams.
